Privacy Policy
1. Who we are
The Portal is operated by Canvas ICT Pty Ltd on behalf of BLC. Both organisations may handle your information when you use the Portal. Together, we are referred to as "we", "us" or "our" in this Policy.
2. What personal information we collect
We may collect the following categories of information about you:
- Identity and contact: name, email address, mobile/phone number, business name where applicable.
- Business and payment: ABN, company/sole-trader details, BSB/account or other payment details where required for RCTI/payment processing, GST registration status.
- Engagement records: jobs offered, accepted, declined, completed, cancelled or withdrawn; check-in/check-out timestamps; site activity; reviews and ratings; support and chat messages.
- Training records: courses, quiz attempts, scores, completion status, manual assessments.
- Location data: GPS or device-location data, captured only when you actively tap check-in or check-out (or another feature that explicitly requires your location). The Portal does not run silent background tracking.
- Device and log data: IP address, browser type, operating system, device identifiers, pages visited, time of access, error logs, security events.
- Communications: emails, SMS, support requests and any other correspondence you send to BLC or Canvas ICT through the Portal or related channels.
3. How we collect personal information
We collect personal information directly from you when you accept an invite, complete activation, sign in, use Portal features (job acceptance, check-in/out, training, support messages), or contact us. We may also receive information from BLC (for example to set up your contractor record) and from third-party service providers that support the Portal (for example Firebase Authentication when you sign in).
4. How we use personal information
- Verify your identity and active engagement status.
- Make jobs and resources available to you and record your acceptance / decline / completion.
- Record on-site attendance via check-in/check-out, including GPS data where captured.
- Generate and display invoices and RCTI documents related to work performed.
- Deliver and assess training and induction.
- Operate, secure, monitor, support, troubleshoot and improve the Portal.
- Investigate disputes, suspected breaches, fraud, safety incidents or misuse.
- Comply with our legal, accounting, tax and record-keeping obligations.
5. Who we share personal information with
We may share your personal information with:
- Best Local Cleaners and its authorised staff/administrators, including the operations and finance team.
- Canvas Payroll and Canvas ICT staff/contractors who operate and support the Portal.
- Accountants, bookkeepers and auditors engaged by BLC or Canvas ICT.
- Service providers that operate parts of the Portal infrastructure, for example: cloud hosting, authentication (including Firebase / Google services), email and SMS delivery, payment / RCTI tooling, database/storage and security monitoring.
- Insurers and professional advisers, where reasonably necessary.
- Regulators, courts, law enforcement or other authorities, where required or authorised by law.
We do not sell your personal information.
6. Overseas disclosure
Some of our service providers (for example Google/Firebase, hosting or email/SMS providers) may store or process data outside Australia. Where that is the case, we take reasonable steps in the circumstances to ensure your information is handled consistently with the APPs.
7. Security
We take reasonable steps to protect personal information held in the Portal from misuse, interference, loss, unauthorised access, modification and disclosure. Reasonable steps include access controls, encryption in transit, server-side authentication checks, audit logs, and operational separation of contractor data. No system is ever 100% secure, and we cannot guarantee absolute security. If you suspect unauthorised access to your account, please contact us immediately.
8. Retention
We retain personal information for as long as needed for the purposes described in this Policy, and as required to meet legal, accounting, tax, audit, dispute-resolution, regulatory and security obligations. When personal information is no longer required for those purposes, we take reasonable steps to delete or de-identify it.
9. Your rights
- Access: You can ask for a copy of the personal information we hold about you. We may charge a reasonable cost for assembling the information.
- Correction: You can ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading.
- Complaints: If you believe we have not handled your personal information appropriately, please contact us first using the details below. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
- Withdrawal: You can stop using the Portal at any time, but some information must still be retained to meet legal and business-record obligations.
10. Cookies and similar technologies
The Portal uses essential cookies, local storage and similar technologies to keep you signed in, remember your acknowledgement, register the service worker for offline-friendly behaviour, and improve reliability. The Portal is not used for advertising and does not load third-party advertising trackers.
11. Children
The Portal is not directed at people under 18. If you believe a minor has used the Portal, please contact us so we can take appropriate action.
12. Changes to this Policy
We may update this Privacy Policy from time to time. The "Last updated" date will change at the top of this page. Continued use of the Portal after an update means you accept the updated Policy.
